What fency.events holds about you, why, who sees it, and what you can ask of us.
Who is responsible
Fency is run by Bothy Systems Ltd, a company registered in England and Wales, number 17495204.
- For your account (your name and email address, and signing in), we are the controller.
- For a competition’s fencers, referees and results, its organiser is the controller: they decide who is entered and what is published. We hold those details for the organiser, as their processor, and do only what they and our terms ask.
What we hold
- Your account: your name and email address.
- A fencer entered in a competition: their name, club and nation, a licence number and ranking if the organiser gives them, whether they were there, their bouts, scores and cards, and where they finished.
- A referee or an organiser: their email address, their name once they sign in, a referee’s club, and the bouts they were given and scored.
We keep dates of birth where governing bodies publish them with results or rankings. We hold no addresses or payment details.
What is published
Nothing, until an organiser publishes an event. Then anyone with its address can see its fencers’ names, clubs and nations, their pools, bouts and scores, and the final ranking. Licence numbers and email addresses are never published. An organiser can withhold a fencer’s name, and it then shows as “Name withheld”: ask the organiser, or ask us and we’ll pass it on.
Why, and on what basis
- To run the competition its organiser asked us to: our contract with the organiser, and their legitimate interest in running and recording a sporting event.
- To keep the service secure and working: our legitimate interest in running it safely.
We email you a code when you sign in, and once when an organiser adds your address as a referee or a fellow organiser, to tell you so. Nothing else, and no marketing.
Who sees it
- A competition’s organisers see everything about it. Its referees see the pools and bouts they are given.
- Amazon Web Services, which hosts Fency in London and sends its email.
We don’t sell your details, and we don’t share them with advertisers.
Where it’s kept, and for how long
Your details are kept in the United Kingdom, encrypted, with backups kept for 30 days. An organiser’s laptop also keeps a copy of the event it has open, in its browser, so the competition carries on if the hall’s connection drops. We keep a competition until its organiser removes it, and an account until you ask us to delete it. What our emails said is cleared 90 days after they’re sent.
Cookies
One cookie keeps you signed in, and one holds your email address while you type the code we sent it. There are no advertising or tracking cookies, and no analytics.
Your rights
You can ask for a copy of what’s held about you, to have it corrected or deleted, to object to or restrict its use, and to take it elsewhere. For a competition’s records, ask its organiser, or ask us and we’ll pass it on. For your account, write to [email protected]. We answer within a month.
If you’re unhappy with how we’ve handled it, you can complain to the Information Commissioner’s Office at ico.org.uk. Bothy Systems Ltd is registered with it, number ZC265815.
